Frequently Asked Questions

Answers to the most common questions about Microsoft 365 family sharing

How many people can I add to my subscription?

Microsoft 365 Family allows you to share with up to 5 people, meaning there can be 6 members total (you + 5 invited). Everyone gets full access to all subscription features, including 1 TB OneDrive, all Office apps, and premium features.

What exactly is shared in the subscription?

Access to the following features is shared:

  • Office Apps: Word, Excel, PowerPoint, Outlook, OneNote, Publisher, Access
  • OneDrive: 1 TB of cloud storage for each member
  • Microsoft Copilot: AI assistant for enhanced productivity
  • Microsoft Defender: Advanced protection for all devices
  • Premium Features: Access to templates, stock images, advanced editing

Important: Personal files, documents, and settings are NOT shared. Each member has their own separate account and private space.

Can other members see my files?

No, absolutely not. Each member has their own Microsoft account and personal OneDrive storage. Your files, documents, photos, and email are completely private and inaccessible to other subscription members. You can only share files by choice, by creating shared folders or sending links for collaborative access.

How do I revoke access or remove a member?

The subscription owner can manage members at any time:

  1. Sign in at account.microsoft.com/family
  2. Find the member you want to remove
  3. Click "Remove from family"
  4. Confirm the action

After removal, the member loses access to Microsoft 365, but their personal files in OneDrive are preserved for 30 days. After that, they may be deleted if the member doesn't get their own subscription.

On how many devices can I use the subscription?

Each member can install Office apps on:

  • 5 PCs or Macs — full version of Office
  • 5 tablets — including iPad and Android tablets
  • 5 smartphones — iOS and Android
  • Unlimited devices — for web versions of Office (through browser)

In total, each member can actively use up to 15 devices simultaneously, plus unlimited access through a browser.

What happens if the subscription expires?

If the subscription owner doesn't renew Microsoft 365 Family:

  • All members lose access to premium Office features
  • Apps enter "read-only" mode — you can view documents but not edit them
  • OneDrive keeps files, but access is limited to 5 GB (standard free plan)
  • Files exceeding 5 GB are frozen for 30 days. Renew the subscription to restore access

Microsoft sends renewal reminders several weeks before the subscription expires.

Can I share my subscription with people from other countries?

Yes, you can! Microsoft 365 Family allows you to add members from any country. However, there are some nuances:

  • Some features may be unavailable depending on the region (e.g., certain premium templates)
  • Interface language can be configured individually for each member
  • Subscription payment is processed in the account owner's country currency

What's the difference between Microsoft 365 Family and Personal?

Key differences:

Feature Personal Family
Number of users 1 person Up to 6 people
OneDrive storage 1 TB 1 TB each (up to 6 TB)
Office Apps ✓ Full access ✓ Full access
Microsoft Copilot ✓ ✓
Price (approx.) ~$70/year ~$100/year

Conclusion: If you're sharing with even one other person, the Family plan is more economical than Personal.
